Best Practices for Desktop Video Conferencing

As desktop video conferencing tools become more commonly used, there are a few best practices you should be aware of to help ensure the best video and audio connections for your meetings.

  • Try to ensure that all conference participants are connected to the the network via a wired connection. Desktop video conferencing is bandwidth intensive, and, while a wireless connection may work, being on a wireless connection can lead to video and/or audio issues.
  • Close any applications that are running on your computer that you don't need during the conference. Restarting your computer prior to the start of the conference closes applications. This helps to ensure that the necessary resources are available for an optimum desktop video conferencing experience.
  • If you're not speaking, mute your microphone. Background noise can be picked up by your microphone, which may lead to a bad audio experience for you and the others in the meeting.
  • Sound from your speakers can be picked up by your microphone and cause feedback. Make sure external speakers are pointed away from your microphone.
  • Use a headset that includes earphones and a microphone so that your voice is transmitted without interference from other audio sources in the room.
  • If the tool that you're using allows you to connect via a web browser or an installed application (e.g. Skype) use the installed application.
  • If you are planning on holding a desktop video conference using an audiovisual system (e.g. Tandberg, Cisco) or when it's critical to reduce the margin of error for the conference, contact [email protected] or call 646-2302 ahead of time. For spaces that do not have installed video conferencing equipment, Classroom Technology Services have high end units that can set up for you and/or can monitor the conference to help alleviate any issues that may occur.
