Open Someone Else's Calendar

Step-by-Step

If you need to open someone else's calendar, you may need them to grant you permissions. Once you have determined that you have sufficient permissions, follow the steps:

Outlook 2016 (Windows)

  1. In the lower left of the Navigation Pane, click Calendar
  2. On the Home Tab, in the Manage Calendars group, click Open Calendar
  3. Choose From Address Book
  4. Locate and select the name of the desired calendar in the list
  5. Click Ok

Outlook 2016 (Mac)

  1. In the lower left of the Navigation Pane, click Calendar
  2. On the Home Tab, click Open Shared Calendar
  3. Type in the user's name and then click Open
  4. If you are asked to "allow this server to configure your settings?", Check "Always use my response for this server"
  5. Click Allow
  6. Your desired calendar should appear. You may need to select the calendar in the left navigation pane

Outlook Web Access (BWA)

  1. In the lower left of the Navigation Pane, click the Calendar icon and then choose Add Calendar which is located above the calendar. 
  2. Select From directory.
  3. Enter the name of the person's calendar.
  4. Click Open
  5. The calendar you are opening will be listed in the left hand column under Other Calendars and you can toggle it on or off.
