Sharing Folders and Files in Box

Step-by-Step

Box allows two different types of file sharing:

  • Share an entire folder, and everything in the folder and sub-folders with a person(s);
  • Send an invitation to a person(s) to view a particular file.

To share a folder:

Folders can be shared via collaboration or via a shared link. Invite someone into a folder as a collaborator if you're working with them on an ongoing basis, and they need persistent access to the content you're sharing. Send someone a shared link to a folder or file if you merely need to provide quick, read-only access (much in the way you'd send an email attachment). Your recipient can continue to reference that link for the most up-to-date version of the content.

Collaborator:

  1. Go to that folder, then click Share This Folder found in the right hand column.
  2. Click Invite Collaborators
  3. In the popup window that appears, type the full email address (e.g. [email protected]) of the person that you want to share the entire folder with. Add multiple addresses by placing a semi-colon between each address.
  4. Next, in the Invitee Permissions field, select the permissions that these people in the Invite field will have to this folder, sub-folders and files. Click the Learn More link which appears immediately to the right of this field to view your options.
  5. Click Send Invites. Everyone in the Invite field will receive an email with the message and a link to accept the invitation. Once they do that, they will have access to the files in this folder.

Shared Link:

  1. Go to that folder, then click Share This Folder found in the right hand column.
  2. Click Get Shared Link.
  3. In the popup window that appears, type the full email address (e.g. [email protected]) of the person that you want to share the entire folder with. Add multiple addresses by placing a semi-colon between each address.
  4. You can also click the Copy button to copy the link to the clipboard.
  5. Click Send. Everyone in the Email Shared Link field will receive an email with the message and a link to the folder.

To share an individual file:

  1. Select the file you want to share, then click Share which appears on the right side of the row.
  2. Click the down arrow that appears immediately to the right of the People in your company field and select the type of people you want to share this file with.
  3. In the Email Shared Link field, enter the full email address of the person(s) with whom you want to share this file.
  4. Click Send. Everyone in the Email Shared Link field will receive an email with the message and a link to the folder.
  5. You can also click the Copy button to copy the link to the clipboard.
