Sync'ing Data from OneDrive/Groups/SharePoint

Details

When to Sync

  • When you have enough hard drive space to handle the amount of data being sync’d.
  • When you are going to be offline (no internet access) and still need access to your OneDrive data.
  • When you want quicker access to your OneDrive files. Accessing locally sync’d OneDrive files is quicker than accessing them directly online.

When Not to Sync

  • You do NOT want to sync data on a computer that is not yours. Like a public computer or your friends computer.
  • It is NOT recommended to sync data that will leave less than 10% free space on your hard drive. Your local hard drive space must be taken into account when attempting to sync any data. Typically, there is more space available online than there is on your local hard drive.
  • It is recommended NOT to sync data from Groups or SharePoint sites. Because Groups and SharePoint can contain many users, the data in Groups/SharePoint can be quite large, or can change frequently with updates from other users.

How to Sync

OneDrive, Groups and SharePoint all use the same desktop client called Microsoft OneDrive (also referred to as OneDrive) to sync data to your local computer. Do not use the desktop client called “OneDrive for Business”

OneDrive

Sync’ing data from your OneDrive space can be done one of two ways.

  1. Launch the OneDrive desktop app
    • Enter your full email address, and click Sign in
    • Click Work or School button
    • At the work or school account sign in screen, click in the Password field and you will be redirected to the Dartmouth WebAuth login.
    • Enter your NetID and click Continue.
    • Enter your password and click Enter.
    • Click Next.
    • At the Folder selection window, click Next.
    • Click Open my OneDrive – Dartmouth College folder

  2. From Office365 online
    • Log on to Office365 by navigating to bwa.dartmouth.edu.
    • On the Office 365 app launcher, click OneDrive.
    • Click the Sync link. (If your browser requests permission to use "Microsoft OneDrive," confirm that this is okay)
    • When OneDrive opens and the Sync your OneDrive files to this PC dialog box appears, choose the folders you want to sync, or select Sync all files and folders, and click Next.
    • Sync is all set up now. You can close the Getting ready to sync dialog box now, if it’s still open in web browser.

Groups

  1. Log on to Office365 by navigating to bwa.dartmouth.edu.
  2. On the Office 365 app launcher, click either Mail or OneDrive.
  3. Click a Group you wish to sync data.
  4. Click Files.
  5. Click Browse library.
  6. Navigate to the folder you want to sync.
  7. Click Sync.
  8. If your browser requests permission to use "Microsoft OneDrive," confirm that this is okay.
  9. If prompted with message about folder already exists, click Use this location.
  10. Choose the folders that you want to sync, and then click Start sync.
  11. Sync is all set up now. You can close the Getting ready to sync dialog box now, if it’s still open in web browser

The files will sync to a folder on your computer that has the name of your organization (for example, %userprofile%\Dartmouth College). The data folder will have the name of the Group and the folder you selected to sync. You can’t change this sync location.

SharePoint

  1. Log on to Office365 by navigating to bwa.dartmouth.edu.
  2. On the Office 365 app launcher, click SharePoint.
  3. Click the site with the files you want to sync.
  4. Click Documents or navigate to the subfolder you want to sync.
  5. Click Sync.
  6. If your browser requests permission to use "Microsoft OneDrive," confirm that this is okay.
  7. Choose the folders that you want to sync, and then click Start sync.
  8. Sync is all set up now. You can close the Getting ready to sync dialog box now, if it’s still open in web browser.

The files will sync to a folder on your computer that has the name of your organization (for example, %userprofile%\Dartmouth College). The data folder will have the name of the SharePoint site and the folder you selected to sync. You can’t change this sync location.
