Terminating Accounts

Details

A Dartmouth student, faculty or staff member’s behavior or actions leads a dean, department head, VP or supervisor to consider cutting off access to Dartmouth accounts.

  • Decisions on student access are made by the appropriate Dean for that student and communicated to the Assistant Director for Campus IT Support and the Manager of the IT Service Desk.
  • Decisions on faculty access are made by the Dean of the Faculty and communicated to the Assistant Director for Campus IT Support and the Manager of IT Service Desk.
  • Decisions on staff access are made by Human Resources staff who oversee employee relations and communicated to the Assistant Director for Campus IT Support and the Manager of the IT Service Desk.

Details on each account type are below.

Immediate Termination for Staff (not-Faculty)

We do not terminate an account based solely upon the request of a supervisor. We require written or verbal approval from the Office of Human Resources staff who oversee Employee Relations to substantiate that immediate action is warranted. We use the employee relations staff in HR to ensure that the immediate termination request is a valid request from a supervisor.

The appropriate HR representative should send an email to [email protected] or [email protected] to make this request.

Immediate Termination for Faculty

We do not terminate an account based solely upon the request of a department chair. We require written or verbal approval from the Dean of the Faculty, or the appropriate Professional School Dean to substantiate that immediate action is warranted.

The appropriate Dean should send an email to [email protected] or [email protected] to make this request.

Immediate Termination for Students

We will only immediately expire an account for a student when we receive a written or verbal request from the student’s Dean or from Safety and Security. In both cases, the CIO needs to be notified of this termination request.

Important: Once the student’s class graduates, they will automatically get an active alumni account.

The appropriate Dean or Safety & Security should send an email to [email protected] or [email protected] to make this request.

Immediate Termination for Sponsored, Departmental or Organizational Accounts

We will immediately expire a sponsored account when we receive a written request from the sponsor or the appropriate senior officer. 

We will immediately expire a departmental account when we receive a written request from the department head. 

We will immediately expire an organizational account when we receive a written request from the advisor to the organization.
