Migrate from MyFiles to OneDrive on Windows

Step-by-Step

Switching from MyFiles to OneDrive for Business for storage of your files is a 6-part process. Your computer should be connected to the wired network when you make this switch. It will take time, depending upon the amount of data you are moving.

Part 1: Sync Offline files

First, follow the steps below to determine if you have syncing turned on, to sync your offline files to make sure the server version is up to date, and to resolve any conflicts. If you do not have syncing turned on, proceed to Install/Configure OneDrive for Business below.

Open Sync Center

  1. Open the Control Panel and click Sync Center.
  2. Click View sync partnerships on the left.
  3. Click Offline Files from the main list. If you do not see Offline Files in the list, then you do not have syncing turned on. Proceed to Install/Configure OneDrive for Business below.
  4. Click Sync from the menu bar that appears above the list.li>

Resolve conflicts

  1. Click View sync conflicts on the left.
  2. Double-click each file in the list and select a resolution. (Many of these will be files with invalid characters in their name. The resolution will be to rename the file to not include that character.)
    * Note: Files that start with a ~ can be skipped or resolved by selecting the delete option

Part 2: Disable Offline files

Next, you need to disable offline files so that you don’t end up with two versions of the same files. Follow the steps below to disable offline files.

  1. Open Sync Center following the directions above (if it is not already open).
  2. Click Manage offline files on the left.
  3. Click Disable offline files then OK.
  4. Restart your computer. This step is important!

Part 3: Install/Configure OneDrive for Business

Now you’re ready to install and configure OneDrive for Business. If you have Microsoft Office 2016 installed, do the following:

  1. Click Start then All Programs (or All Apps) then Microsoft Office 2016.
    Note: If you have Microsoft Office 2013 installed, you may have OneDrive 2013 already installed. We recommend that you upgrade to OneDrive 2016 as it eliminated some issues users have been encountering.
  2. Click OneDrive for Business.
    1. If it is configured already, your OneDrive for Business folder will open.
    2. If it is not, a window will open to step you through the configuration process. Answer the questions as prompted.
  3. OneDrive for Business will create a folder in your user profile called OneDrive - Dartmouth College or OneDrive @ Dartmouth College. All files placed here will be synced to your account on Microsoft’s servers in the cloud. Note: You may see a shortcut to OneDrive on your computer in addition to the OneDrive – Dartmouth College shortcut. Some people have the personal version of OneDrive installed on their computer and use it to store their personal files. The personal version of OneDrive would be tied to a personal Microsoft email account such as Hotmail.com, Outlook.com, or Live.com. The files that you are syncing from your computer to the cloud following the steps in this document will be stored in your OneDrive – Dartmouth College location.

Part 4: Move files from MyFiles to OneDrive for business

Now that OneDrive for Business is set up, you need to move your files from MyFiles to your OneDrive for Business space. Follow the steps below.

  1. Open two windows on your computer; one that shows your MyFiles top level folders/files and another that shows the OneDrive @ Dartmouth College folder on your computer.
  2. In your Myfiles window, click once on the item at the top of the list to select it. Scroll to the bottom of the list of files and folders. Hold down the shift key, then click the last item in the list. This will select everything in the list. DO NOT STOP HOLDING DOWN THE SHIFT KEY.
  3. Then, while holding down the shift key, drag everything from your MyFiles window to your OneDrive for Business - Dartmouth College window. This will MOVE all documents from your MyFiles space to your OneDrive space. No documents will remain in your MyFiles space. Once you do this, your “recent” links within the Microsoft Office suite of applications will no longer work for those files that you were accessing from your MyFiles space. You will need to find them in your OneDrive space to open them.
  4. Files will then sync to the OneDrive cloud. Remember this will take a bit to sync to the cloud. A green check mark will be placed on files/folders that have synced to the cloud; a red x will appear next to those files/folders that had trouble syncing. Do not move or shut down your computer until this process is complete.

Part 5: Remove mapped drive to MyFiles

Next, remove any links to Myfiles from your computer so you don’t accidentally go there to look for files. Additionally, when the MyFiles servers are shut down, if you still have your computer mapping a drive to the MyFiles server you will get an error everything your computer starts up. Follow the steps below to remove any MyFiles mapped drives.

  1. Click Start then Computer or File Explorer.
  2. Right-click on your MyFiles mapped drive. It is important to click on the drive, rather than a shortcut to the drive that may appear in your Recent links.
  3. Select Disconnect. Your mapped drive should disappear after a few seconds.

Part 6: change location of any folders that you directed to Myfiles

Finally, change the location of any folders that appear on your computer that you re-directed to MyFiles.

  1. Click Start then Computer or File Explorer.
  2. Right-click on any folders that you may have redirected to MyFiles. There is no way to know which ones these are just by looking at them, or if you did this at all. Folders that may have been redirected to MyFiles include: Documents or My Documents, Favorites, and Desktop.
  3. From the menu that appears, click Properties then the Location tab. If the box on this window shows a path to your \\myfiles space, click Restore Defaults then OK.
  4. Repeat steps 2 and 3 on any other folders that you may have redirected to MyFiles.

Congratulations! You are now done with MyFiles and are syncing with OneDrive for Business. Any files you have stored in your OneDrive –Dartmouth College folder will automatically by synced with Microsoft servers in the cloud, and available to you whenever you have an Internet connection. To use these files from a different computer, log into bwa.dartmouth.edu. Click the tic-tac-toe icon found in the upper left corner of the window, then click OneDrive. Your files and folders should appear.
