Setting Permissions for Resources


To refine who can schedule the resource directly, follow step one.

Step One:

  1. The owner of the resource needs to log into their account in Outlook for Windows.
  2. Click the File ribbon then click Open & Export then Open Other User's Folder.
  3. In the Name field, enter the name of the resource.
  4. In the Folder Types field, select Calendar.
  5. With the resource open, right-click on the resource, choose Properties, then choose the Permissions tab.
  6. Add the appropriate permissions for this calendar, making sure to set the two owners identified for this resource with "owner" permissions.

To refine who can schedule the resource by invitation, follow step two.

Step Two:

  1. One of the owners of the resource needs to login to with their NetID and password.
  2. Click Outlook.
  3. In the upper right corner of the window, your name will appear. Click your name, then from the menu that appears, select Open another mailbox.
  4. In the Open another mailbox field, enter the name of the resource whose permissions you want to modify. Click Open. You will then be placed into the account for that resource.
  5. In the upper right corner, click the Settings icon, then Calendar.
  6. In the left hand navigation bar, click Resource Scheduling.
  7. In the "Resource scheduling settings" section of the window, in the These users can schedule automatically if the resource is available field, click Specific people and Groups then Select One or More.
  8. Select Directory on the left navigation section. If you don't see that, click the >> icon to display all the contact options.
  9. In the Search People field, enter the name of the first person who can modify the calendar for this resource, and press Enter. Double click their name from the list that appears to move their name into the To field at the top of the window. Continue finding names and double clicking them to move them into the To field, until everyone is listed who should have rights to modify this resource's calendar. Click OK.
  10. Click Save.
  11. Click Mail in the upper right corner of the window.
  12. Click the account name of the account you are logged in to, click Sign Out.

NOTE: Users can open the resource calendar by selecting it from Address Book or Room List, making sure the Global Address List and not the Offline Global Address List is selected.
